Use your firm's own words for statuses, services and dropdowns
AgniDesk guide · Lists & labels · Updated 5 October 2026
Every dropdown, status and name the app shows can read the way your office talks. Records keep the value they hold, so renaming, reordering or hiding never changes your data.
Change a list
Open Masters & data › Lists & labels. Pick a list on the left — they are grouped by area: returns and filings, clients and services, tasks and enquiries, notices, billing.
- Type a new label in Shown as. The Stored as column shows the value records keep; it never changes.
- Pick a colour where the list has one. On the filing boards, Default keeps the board's own colour.
- Use the arrows to change the order pickers show.
- Untick Shown to take a value out of the pickers. Records that hold it still show it.
- Press Save changes. Every page picks up the new words straight away.
Reset puts a list's built-in words, colours and order back. Values you added stay.
Values the app relies on
Some values drive what the app does — Filed locks a return and can raise its invoice; Documents awaited is where the document chaser moves a return; a business type decides an ITR's due date. These show a lock: you can rename and recolour them, but not hide them.
- Filing statuses
- Add your own, such as Query raised. An added status always means the return is still owed: it stays on the due and overdue lists until it is marked filed, exempt or N/A.
- Tracker stages
- Add steps between Not started and Filed, such as Reviewed by partner. Moving a return into one does not file it.
- Business types
- Add your own wording, and pick the built-in type it is treated as — so its due dates and document checklists stay right.
- Portal login labels
- Add labels for a service's logins. The built-in labels cannot be renamed, because a saved login keeps its label as written.
Services and returns
Built-in service names lists GST, Income tax, TDS / TCS and the rest. Rename one and the menu, client tabs, boards and reports use your name. Hide a service your firm does not offer and it leaves the pickers; clients who already have it keep it.
Return names renames a built-in return everywhere it is named — the filing boards, the return tracker, client emails and exports. New returns of your own are added in the service master.
The item master
Billing & receipts › Item master keeps the services you bill for, each with its SAC code and usual rate. Pick one on an invoice, a quotation or the work register and the SAC and rate fill in where they are empty.
Who can change lists
The superadmin can. Anyone else sees the lists read-only, until the superadmin ticks Lists & labels › Edit for their role or for them under Roles & permissions. Every change is in the audit log, with the words before and after.
Renaming, recolouring, reordering and hiding are on every plan. Adding your own values is on the paid plans.
Copy your set-up to another workspace
Export saves every list you changed to a file. Import in another workspace lays it over that workspace's lists; values that workspace added are kept.
Common questions
Does renaming a status change my old returns?
No. Returns store the status's value, not its words, so every return — old and new — simply reads in the new words.
Can I delete a status I added?
Yes, while no return holds it. Once one does, untick Shown instead: it leaves the pickers and the returns that hold it still read correctly.
Will my own status count as filed?
No. A status you add always means the return is still owed. Use Filed, M-Filled or Q-Filled (renamed if you like) to mark a return filed.
Do my clients see my words?
Yes. Client emails, reports and exports name returns and statuses the way your lists do.
