Manage returns from start to filing

AgniDesk guide · Return tracker · Updated 27 September 2026

Follow each return through its stages, from document collection to filing, and assign it to a team member.

Returns it covers

  • GSTR-3B (monthly) and GSTR-1 (monthly)
  • GSTR-3B (quarterly · QRMP) and GSTR-1 (quarterly · QRMP)
  • CMP-08 (composition)
  • GSTR-9 (annual)
  • Income-tax return (annual)
  • 24Q · salary TDS and 26Q · TDS (quarterly)
  • EPF ECR and ESI contribution (monthly)

You do not add customers to the tracker. Every active customer with that service active appears automatically. For GST, the customer's filing cadence decides the board: QRMP customers appear on the quarterly boards, monthly filers on the monthly boards and composition dealers on CMP-08.

Open the tracker

  1. Go to Returns & filings › Return tracker.
  2. Choose the Return, for example GSTR-3B (monthly).
  3. Choose the Period. The current period is selected; earlier periods are in the list.
  4. Optionally filter by Person (Everyone, Mine, Nobody yet or a colleague) or search by customer, customer ID or person.

Each card shows the customer, the due date (amber when due within a week, red once overdue), the ARN once filed, and how many documents are still needed.

The six stages

Not started
Nobody has begun this customer's return yet.
Documents awaited
You have asked the customer for documents.
Documents received
Everything needed is in.
Prepared
The return is ready for review.
With client (approval / OTP)
Waiting for the customer to approve it or share the OTP.
Filed
Filed, with the filing date and ARN recorded.

Move a card forward with the button that names the next stage (for example “Prepared →”) and back with ←. Two moves happen on their own: sending the customer a document link moves a Not started card to Documents awaited, and once every required document is marked received the card moves to Documents received.

Assign returns to your team

Admins pick a person from the dropdown on each card. Staff can press Take it on an unassigned return, or You · let go to hand one back; they cannot give a return to someone else. The person assigned gets a notification.

Switch View to Workload to see Open returns by person: how many each person holds, how many are overdue, and at which stage. Unassigned returns are listed under Nobody yet — a quick way to spot work nobody has picked up.

Collect documents from the customer

  1. Press Documents on the card.
  2. Press Start the list. It is filled in with what this return usually needs; add or remove items with + Add a document.
  3. Write a Note to the customer if you want — it appears at the top of the email and the upload page.
  4. Press Email the request, or Get a link to copy a private upload link to share yourself.

Mark each item Received, Still needed or Not needed as papers come in. The card shows how many are still needed, and moves to Documents received once all are in. Stop the link ends a link early.

Mark a return filed

  1. On a card at With client, press Filed →.
  2. Enter the ARN / acknowledgement number (optional) and press Mark filed.

The return is marked filed everywhere — on the GST or other return board (M-Filled for monthly GST, Q-Filled for quarterly, Filled otherwise), in reminders and on the customer's file — with today as the filed date.

A popup then helps you finish the job: open the invoice for the return or Create invoice (draft) at the customer's fee; Send on WhatsApp with a ready-written message to the customer; and see whether the “return filed” email will go to the customer. Nothing is sent unless you press the button.

On a phone

On a small screen the board becomes a Stage picker with the count at each stage (“Documents awaited · 4”). Pick a stage to see its cards full width, with the same buttons.

Who can use it

Everyone in the firm can open the tracker. People see only the services they are allowed to work on and, if their access is limited to assigned customers, only those customers. Creating the invoice from the filed popup needs permission to raise invoices.

Common questions

Do I need to add customers to the return tracker?

No. Every active customer with the service active appears automatically, starting at Not started.

Does marking a return filed in the tracker update the GST board?

Yes. The tracker and the return boards share one record: Filed sets M-Filled or Q-Filled for GST (Filled for other returns) with today's date and the ARN you entered.

Is the ARN required to mark a return filed?

No, it is optional. You can add it later from the return board.

Can staff assign returns to other people?

No. Staff can take an unassigned return or let go of their own; only admins assign returns to others.

Why is a QRMP customer missing from the monthly GSTR-3B tracker?

QRMP customers file quarterly, so they appear under GSTR-3B (quarterly · QRMP) and GSTR-1 (quarterly · QRMP).

Does AgniDesk send WhatsApp messages automatically?

No. It opens WhatsApp with the message written for you; you check it and press send.

How do I see which staff member is overloaded?

Switch View to Workload. It lists open and overdue returns per person, split by stage.
